Engagement process

Working with ALPINERUS Kft.

This page describes how an engagement with ALPINERUS Kereskedelmi és Szolgáltató Kft. is set up, from the first message to the point where work begins. Nothing here is unusual for Hungarian business practice, but writing it down saves both sides time.

At a glance

  • One inbox, read by a person
  • Written scope before work starts
  • Registry documents on request
  • Direct contact, no sales layer

The first message

A clear paragraph is enough to tell whether the company can take the work on.

Start with a written enquiry, either by email or through the contact form. The useful contents are simple: what you need done, any deadline, and whether you are a Hungarian or foreign business.

If your requirement involves goods moving across a border, say so at this point, because it changes which documents we prepare. You do not need a formal brief to make contact.

What to include

  • What you need done, in your own words
  • Any deadline you are working to
  • Whether you trade from Hungary or abroad
  • Cross-border goods movement, if it applies

What happens with your enquiry

Enquiries go to one place and are read by a person, not routed through a ticket queue. You will get a reply that either answers the question, asks for the missing detail, or tells you plainly that the work falls outside what the company does.

We do not pass enquiries to third parties, and we do not add contacts to a mailing list. If the answer requires a phone call, we will suggest a time rather than ring unannounced.

Reply, not silence

Every enquiry gets an answer: the question resolved, the missing detail requested, or a plain statement that the work is outside the company's activity.

Your details stay put

Contact details shared in an enquiry are used to answer that enquiry. They are not forwarded to other companies and not added to a newsletter list.

Information exchanged before any agreement

Service engagement

Expect a short exchange covering scope, timing, and responsibility. The purpose is to get the facts into one place before anyone commits, so the description you agree on matches the work that follows.

Trade transaction

The exchange centres on the goods, quantities, and delivery arrangements. Where borders are involved, the document set changes, so it is worth naming that early.

If you are running an internal approval process, tell us early, because the documents you need may take a few days to assemble and it is easier to prepare them in parallel with the commercial discussion.

Documentation a Hungarian partner usually needs

Hungarian business documentation culture expects a paper trail, and foreign partners often need more of it than they expect. The usual items are the company's registry identifiers, and, depending on your process, a cégkártya or a cégkivonat.

Documents

Registry documents can be requested directly if your compliance process requires them. A cégkártya or cégkivonat is prepared on request, and the published identifiers above cover most pre-contract checks. The company data page holds the full registry details, and the verification guide explains how a Hungarian company is checked independently.

Agreeing the scope in writing

Every engagement starts from a written description, however brief.

For service work that is typically a one-page scope note listing what is being done, by when, and who owns which step. For trade it is usually an order confirmation. Both sides keep a copy.

This is not red tape for its own sake: a clear starting document makes invoicing simpler and removes most of the ambiguity that causes disputes later.

Who you deal with

Engagements are handled directly, without intermediaries. The contact details on this site reach the company itself. If your organisation requires a named contact for its records, ask, and we will confirm who is handling your matter.

There is no separate sales layer to navigate, and no partner network standing between you and the company.

What we ask of partners

Two things make engagements go smoothly. First, tell us early if your internal process needs specific documents, because assembling them takes time. Second, if a requirement changes, say so before the deadline rather than after it.

We apply the same standard on our side: if something cannot be done as described, you will hear it from us rather than discover it later. Straight answers in both directions are cheaper than corrections.

After the work starts

Once scope is agreed and documents are in place, work proceeds against the written description. Invoicing follows Hungarian practice, with the company's tax number on every invoice.

Work

Runs against the written description both sides kept.

Review

Ongoing engagements get an agreed review point, so scope can be adjusted if the requirement changed.

Records

At the end of a project you hold the documentation trail your own records need.

For many partners that paper trail is as valuable as the work itself, because it settles internal questions months later without another round of correspondence.

Questions before you write

Short answers to the things partners ask most often at the start.

Do I need a contract before sending an enquiry?

No. The first message is just a description of what you need. Documentation and a written scope come later, once it is clear the company can take the work on.

How quickly will I get a reply?

Enquiries are answered within one business day in most cases. If your question needs information from documents we have to assemble, the reply will say what is being prepared and when to expect it.

Can you provide documents for our compliance department?

Yes. Registry identifiers are published on the company data page, and a cégkártya or cégkivonat can be requested if your process requires the formal documents.

Do you work with partners outside Hungary?

Yes, within the company's declared activity. Cross-border engagements usually start with registry documents, since foreign partners need to confirm the Hungarian counterparty before contracting.

Before you write

Start with the contact page

One message describing what you need is enough to begin. If your compliance team needs documents first, request them and the enquiry can run alongside that process.
